Experian had the requirement for a safe extranet solution to manage their media files across the organisation.
Media files are uploaded by an administrator to Sitecore’s Media Library. The files are created in folders that form a category navigation on the user interface. Sitecore automatically registers metadata from the files, where after it can be handled manually. All content in the solution is edited in Sitecore.
The users are created in Sitecore and are assigned roles dependant on whether or not the user has the right to download files immediately or whether they should be approved first. Security can be set at item level.
When the user logs in, the system checks their profile against Sitecore’s security to identify what rights they have. The user can search via the files metadata. The search result is displayed as preview images and the user can modify the number of results per page. The user can also search for files by navigating through the categories in the left-hand menu.
From image preview the user can:
- See a large version of the image
- See the images metadata
- Add the file to a light box (requires right)
- Request the file (if the role does not have the rights to download with approval)
- Download the file (if the role does not have the rights to download with approval)
- When requesting a file an email is sent to the administrator who can approve or reject the request.
- Simple administration of the company’s media files
- Files can only be used by approved persons
- Better exploitation of the company’s media assets
